At a recent team briefing in Eswatini, Prashanth, Managing Director of Artemis Pharmaceuticals, walked his team through the approved AI tools now available to them and how each can cut down on repetitive administrative work, freeing up time for customers, sales, orders and growing the business.
The session doubled as a refresher on the Group AI Usage Policy, with one message running throughout: innovation and responsible information management must go hand in hand.
The Tools
Two tools were the focus of the session. The first was Granola, an AI meeting-notes application that records, transcribes and summarises meetings. Prashanth pointed to customer visits, sales, procurement, tender and inter-departmental meetings as the obvious places to use it, creating a searchable record that supports follow-ups and feeds directly into monthly reporting.
The second was Google Gemini, which the team was reminded is already available to every employee through their company email account — both within Gmail and as a chatbot they can query directly. Gemini can help surface trends and insights from data, cutting down on manual analysis. The aim is to let AI do the heavy lifting while people keep the judgement calls: interpreting results and making the business decisions.
Using AI Responsibly
Efficiency, Prashanth stressed, must never come at the cost of information security. The team was reminded of the Group AI Policy’s core principles: only Gemini (through company accounts) and Granola are approved for work use; ChatGPT, Perplexity AI, DeepSeek and other external AI platforms are restricted; and financial data, actual business figures and confidential company information must never be shared with external AI platforms. Within those boundaries, appropriate uses such as drafting letters, creating general content and analysing reports are encouraged. All employees are expected to familiarise themselves with the policy.
Putting It to Work
The briefing closed with practical next steps. Employees are encouraged to start using Granola for relevant meetings, keep records clearly titled, and review any AI-generated summary before sharing it through the appropriate internal channel. Heads of Department will make sure the AI Policy reaches every team member, particularly new joiners.
As Prashanth put it: “AI should help us save time so we can focus on what matters most — growing the business.”
